The short version
- Our contact form prepares an email, WhatsApp message or text on your own device. We receive your details only when you send it, or when you call, text or email us.
- We use your details to reply and quote and, if you go ahead, to plan, carry out and invoice the installation.
- On site, we photograph the joinery we install as a record of its condition. These photos can show the premises we work in.
- We don't sell your details, and we don't send you marketing unless you've said yes.
- Our website sets no cookies and runs no analytics. Its fonts load from Google, which receives your IP address.
- You can ask to see or correct your details at any time.
The rest of this page gives the detail.
Who we are
This policy covers VYGN Joinery Installation (ABN ), a commercial joinery installer in Melbourne, Victoria. We install joinery for builders, fit-out companies and joinery manufacturers. In this policy, "we", "us" and "our" mean VYGN Joinery Installation.
We follow the Australian Privacy Principles in the Privacy Act 1988 (Cth) as good practice. You'll find our contact details at the end of this page.
What we collect
We collect only what we need to quote and carry out the work. That usually means:
- your name, company, phone number and email address
- the project location, such as the suburb or the site address
- what you need installed, when you expect to start, and the project details you give us
- drawings, specifications, joinery schedules and photos you send us
- our messages with you, and notes from our calls and site meetings
- the names and phone numbers of site contacts, such as site managers and project managers
- photos we take on site of the joinery we check, install and protect
- quotes, variations, invoices, payment claims and payment records, and your business's ABN
We don't need sensitive information, such as health details, so please leave it out of your messages.
You can ask a general question without giving your name. To quote, we need a way to contact you and the project location.
Our website is for people arranging commercial work. We don't knowingly collect information about children.
How we collect it
We collect your details directly from you: when you call, text, WhatsApp or email us, when you send the message our contact form prepares, or when we meet on site.
The contact form
The contact form asks for your name, company, phone number, email address, the project location, what you need installed, an estimated start and project details. When you press "Prepare my request", it puts your answers into a message on your own device. Nothing you type in the form reaches us until you send that message.
You then choose how to send it:
- Email opens your email app with the message filled in. Attach your drawings there before you send it.
- WhatsApp opens a wa.me link that carries your whole message to WhatsApp, which is run by Meta. Meta may receive the message even if you then decide not to send it.
- Text opens your messages app. Some phones send texts as chat messages through Apple (iMessage) or Google (RCS).
- Copy puts the message on your clipboard, so you can paste it into another app.
If we switch on direct sending, the form will send your details to an online form service, which passes them on to our email, and the page will tell you when your request has been sent. Drawings can't be sent through the form, so please email them to us.
Drawings and other files
You can attach drawings, specifications and photos to your email, or send them by WhatsApp or text. If the files are too large to attach, you can send us a file-sharing link instead.
From other people
On most jobs, the builder, fit-out company or joinery manufacturer that engages us gives us the names and contact details of site contacts, such as the site manager, so we can arrange access, deliveries and handover. A colleague may also pass your details to us when they send us a project.
Photos we take on site
Before we lay protection over finished joinery, we photograph it to show it's installed without any damage. We also photograph joinery that arrives damaged or defective, and site conditions that affect our work. We send these photos to the business that engaged us, as part of the record of the job.
The photos are of the joinery and the area around it, so they can show the inside of your premises. Now and then, they may also show people, names or other details in the background. We try to keep people out of our photos.
We use some of these photos on our website, and may use them on social media, to show our work. We choose photos of the joinery, and we don't name the client or the site unless they've agreed to it. Some project photos on our website were taken by a professional photographer and are used with their permission. We credit the photographer where those photos appear. If you'd like a photo of your premises taken off our website, contact us and we'll remove it.
Our website and Google Fonts
Our website doesn't set cookies, doesn't use analytics, advertising or tracking tools, and doesn't embed maps or videos.
The fonts on our pages load from Google Fonts. To deliver them, your browser sends Google your IP address, the font file it needs and standard browser details, such as your browser type and the website you're on. Google logs these requests. Google says requests to Google Fonts don't use cookies, and that it doesn't use the information to build profiles of visitors or to target advertising. You can read Google's privacy FAQ for Google Fonts.
Like most websites, ours is stored by a hosting company that keeps standard server logs, such as IP addresses, the pages requested and the time of each request. Those logs help keep the site running and protected.
How we use your details
We use your details to:
- reply to your enquiry and answer your questions
- review your drawings and prepare a quote
- plan the installation with you and your site team, including access, deliveries and handover
- carry out the work, and record it with photos before we lay protection
- send invoices and payment claims, receive payments and keep business and tax records
- deal with variations, defects, disputes and complaints
- meet our legal obligations
We don't use your details for anything unrelated without asking you first.
Who we share them with
We don't sell, rent or trade personal information. We share it only when we need to, with:
- the builder, fit-out company or joinery manufacturer on the same project, and their site team, for example when we send photo evidence or report damage
- the phone, SMS, WhatsApp and email services that carry our messages
- the online form service, if our contact form sends requests directly
- our website host, through its server logs
- our accountant or bookkeeper, and the accounting software and bank we use for invoices and payments
- anyone who helps us carry out the work, who must keep your details private
- anyone the law requires or allows us to share it with, such as the Australian Taxation Office, or an adjudicator, tribunal or court dealing with a dispute
Overseas storage
Some of the services we use store information on servers outside Australia, so your details are likely to be held overseas when:
- you message us on WhatsApp, including through the WhatsApp button on our contact form (WhatsApp is run by Meta)
- your phone sends a text as an iMessage (Apple) or an RCS chat message (Google)
- you email us, or we email you, through our email provider
- we keep drawings and job photos in cloud storage or phone backups
- your browser loads fonts from Google
- the contact form sends your request through our form service, if direct sending is switched on
These providers commonly store data in the United States and in other countries where they run data centres. We use established providers and protect our accounts as described under Keeping it safe.
Marketing messages
We'll reply to your enquiry and send you messages about your quote and your project. Asking us for a quote doesn't add you to a mailing list. We don't send promotional messages, such as newsletters or offers, unless you've told us you want them.
Any promotional message we send says it's from VYGN Joinery Installation and tells you how to opt out, for example by replying STOP. We act on opt-outs within 5 business days. This follows the Spam Act 2003 (Cth).
Keeping it safe
We take reasonable steps to protect your details, drawings and photos from misuse, loss and unauthorised access. For example:
- our phones and computers are locked with a passcode or password
- our email, messaging and storage accounts use two-step sign-in
- we share drawings and job photos only with the people who need them for the project
- paper notes and printed drawings are kept out of sight and shredded when we no longer need them
If a data breach is likely to cause you serious harm, we'll tell you as soon as we can and explain what you can do to protect yourself.
How long we keep it
If your enquiry doesn't go ahead, we delete your details within 12 months. For jobs we carry out, we keep quotes, invoices and job records for at least 5 years, as tax law generally requires. We may keep drawings and the photo evidence of our installs for up to 10 years, because claims about building work can generally be made for that long. After that, we delete them or remove anything that identifies you.
Seeing and correcting your details
You can ask to see the personal information we hold about you, or ask us to correct it. Call, text or email us. There's no charge to ask.
We may need to confirm who you are before we share anything, and we'll respond within 30 days. If we refuse a request, we'll explain why in writing and tell you how to complain. If we don't agree that something needs correcting, you can ask us to keep a note of your view with the record.
You can also ask us to delete your details. We will, unless we need to keep them, for example for tax records or the record of a job.
Complaints
If you think we've mishandled your personal information, please tell us in writing, for example by email. Say what happened and how you'd like us to fix it. We'll reply and aim to resolve your complaint within 30 days.
If you're not happy with our response, or we haven't responded within 30 days, you may be able to complain to the Office of the Australian Information Commissioner (OAIC). The OAIC can tell you whether it's able to look into your complaint.
